I won't be here, but next weekend Tracy would love to host anyone that's around to come enjoy the Lobster Boat Races, the Jonesport tradition...

Meeting Minutes June 17th
Meeting with: Kayleigh, Kyle, Emma, Josh, Sophie, Meg, Zoe, Ethan, Kehben

FOUR PHYSICAL PROJECTS:
Kehben filling in the rest of the Bees
1. ANNEX
-Remove walls in basement/stop progression of mold
-Remove fire-escape from outside of building b/c pulling down wall
-These would be best for warm weather, don't require money for materials and need people power
2. FIVE AND TEN
-Clean out trash
-Seal up insulation so we aren't breathing fiberglass
-Re-do wiring
Considerations:
-Ok for colder weather
-Would like to have this space for Gabfestry
-Summer is a people power time, but we can probs gets lots of help from community w/this space so probably wouldn't need to bring in people from away
-If hiring anyone for wiring probably will be Tigger
3. QUIMBY GRANT ATTIC + KITCHEN WORK
-Will know August 1st if we got it
-$35,000 for materials for:
1) Finishing out attic into four bedrooms: three existing bedrooms, sewing space to a bedroom, could make it so the four rooms are lofted so we could fit seven in attic (we would want to do this work in September/October so the spaces are ready for people to stay for the winter)
2) Work on kitchen: would take wall out so that the mudroom becomes kitchen space (this can happen in winter/spring)
4. 101 COURT ROOF RESTORATION + PAINTING:
-Our insurance co: we are super on the level with and communicate w/really well esp. through Matt
-We pay a bunch for nice business insurance for all of our spaces
-Big move to kick older houses off of insurance, so there is a push on us to fix our roof esp. over barn + studio (roof over main part of house has a bit longer)
-Also want us to take flaky paint off house b/c probably has lead in it
-This would be a really good project w/a bunch of people, but visitors don't like doing this project
-Kehben wants to write a grant to pay a Machias local who really knows what they are doing to take care of it
-We need to continue to show progress in coming months
-Need to figure out where funds for these projects will come from
-This is the time of year the insurance company usually pushes b/c insurance renews July 1st, they can send letters demanding giant projects w/in one weeks time

Volunteers & Visitors update
Sophie, Josh, Emma and Kaleigh met to chat about volunteer weeks. Kbar and Kyle contributed thoughts later. Please add to this is I have forgotten anything.
Overall points:
-Having designated week(s) will be easier to manage that an ongoing trickle.
-Limiting number of volunteers to around 15 people/ volunteer week.
-Having a sign-up form is good.
-To call out for volunteers or to take people who contact us only?
-Sauna crew suggested the week before the BFB.
-Kbar and Kyle suggested having a volunteer week from July 15 - 22.
-The 5 & 10 is not a one person job. Having volunteers to supplement the contribution of other bees could be an asset.
-There will be times that the 5 & 10 will need "unskilled" help for hauling trash, etc. and times when volunteers with some specific skill sets would be really useful. We don't know yet when those times will be.
-We will need a plan for orientating volunteers and for food.
-We will make some resources for people visiting and volunteering so they are safe/healthy and happy and know where important/interesting stuff is.

If someone calls and wants to visit...
-Let them know that they are welcome to camp in our backyard for a few nights.
-Explain that we are happy to give them a tour of our spaces and work. Tell them that we are a bunch of new folks here at the hive and we're in the process of launching our latest graphic project and that we don’t know how much energy we'll have to devote to interacting with folks among the current flurry of other tasks we have in front of us.
-Tell them that we ask that visitors cover their food expenses while they are here. Tell them that we share dinners.
-Ask them when they will be arriving.
Write on the whiteboard who is coming and when. Leave space for someone who will be around to sign up to greet them and give them a tour.

Let them know that we will be having one or two separate weeks where we'll ask folks who are interested in visiting/helping to come if they can. Media Team Meeting Notes! Tuesday 6/11

1. Find original indesign file of press kit
2. Put together MR specific press kit:
- reviews and love letters
- FAQ updates
- Press release/info about MR
- Design MR fliers for website/press kit
- Should we design two press kits - one for media, one for colleges?

1. Talk to Kehben and Recent about their approach to Social media. - Get access to pages.
2. Start to tweet things! Find cool pictures to tweet/facebook.
3. Tweet/facebook about buy limited edition 200 posters thing - DONE
4. Invite people from the little facebook group to the big one - KYLE

1. Compile a list of different media outlets we want to contact
2. Email all the bees asking for suggestions/info about media we should reach out to - EMMA
3. Make a google doc for people to enter that information
4. Make a plan of action - which media contacts should receive what kind of outreach, dividing up media contacts, making a timeline

-Also, all of the people who applied to live here were told that we would find other ways for them to come and help out, this tiny work party approach might be a good way for them to plug in
-Josh - also when Kehben did initial tour of Five + Dime she mentioned might be groups of high school students who could come and help with that, maybe Josh + Matt can sit down and make sure that we aren't asking highly skilled volunteers (ie carpenters) to come and do super simple work like throwing garbage out window
-Ethan - might also be helpful to have a task jar for volunteers so there is always something to work on

Meeting Notes - Lara Website Check-In 6.3.13
Meg, Ethan and Zoe checked in with Lara over the phone to discuss what has been done on the website and what still needs to be done.
Lara -
-Website same as about 2004
-Have been wanting to refresh for a while
-Couple years back Erin Wilson brought in a team of three tech people who started working on putting together a site on Wordpress b/c it is a more accessible format
-Team also put notes together around website pages, menu titles, concept of site wanted as a group
-Niko started setting stuff up
-Need to start uploading content so that it's easier for Niko to start setting up pages. For example, on front page we could have a thumbnail of each of the posters so that you can click and look at each poster, but we need to get thumbnails together on our end for Niko to be able to put things in place
Ethan -
So is there a plan for the website that just needs to be implemented?

-Not all of content it done
-Some design things aren't totally satisfying, like the structure of the menus, the functions for things like galleries
-Because the internet is always changing - like the way sites need to be viewed on mobile devices - new people getting involved means that people bring different expertise, and if new people have new ideas we should stay open to whatever makes sense

Is the webstore also built in Wordpress?
Lara -
-Yes, Matt and Tyler uploaded all of the products onto the webstore - every patch has a post, image and price - within the Wordpress
-There are some functionality problems

Meg has a webstore on her site so she would be happy to look at that

-To finish the story of the site - Niko did a lot of setup with new site, but he started to get really busy, so Lara contacted a couple of people in Toronto, Brian has been slowly chipping away at things - only has half a day/week to put into the project
-We want the site to be as nice/nicer than what we have now, with some key things better, and to be able to interact with the site better
-Tricky because we are in a rush to get it up asap, but we want to put a lot of work into, maybe there are different levels of improvements that we can tackle

Meg - has worked on some websites on the design end, and has experience with Wordpress
Ethan - has no code experience, some experience with creating architecture for website, determining what a website needs and then filling with content, hoping to get login info for current website so we can update
Zoe - some experience designing websites and a bit of code experience

-We also need to form a real problem-solving chart to determine who you ask when something goes wrong, part of the problem has been that we're in transition between who those people have been and who they are going to be

Who do we check in w/ about content in terms of writing if we wanted to start writing content for splash page of Kickstarter site

-If possible, with big front page posts, just send around to a Hive Bees-like list a few days before the post goes up
-As far as content for the larger website different pieces have been delegated to different people. For example, content concerning the Grange has gone to people in Machias
-As far as larger messages most people want to know and help but hard to get people to have time
-Would be helpful if we (in Machias) wrote a first draft that got a few edits
-Molly and Lara have been the people who had time and have been working on bigger picture messaging stuff
