Sophie, Josh, Emma and Kaleigh met to chat about volunteer weeks. Kbar and Kyle contributed thoughts later. Please add to this is I have forgotten anything.
Overall points:
-Having designated week(s) will be easier to manage that an ongoing trickle.
-Limiting number of volunteers to around 15 people/ volunteer week.
-Having a sign-up form is good.
-To call out for volunteers or to take people who contact us only?
-Sauna crew suggested the week before the BFB.
-Kbar and Kyle suggested having a volunteer week from July 15 - 22.
-The 5 & 10 is not a one person job. Having volunteers to supplement the contribution of other bees could be an asset.
-There will be times that the 5 & 10 will need "unskilled" help for hauling trash, etc. and times when volunteers with some specific skill sets would be really useful. We don't know yet when those times will be.
-We will need a plan for orientating volunteers and for food.
-We will make some resources for people visiting and volunteering so they are safe/healthy and happy and know where important/interesting stuff is.

If someone calls and wants to visit...
-Let them know that they are welcome to camp in our backyard for a few nights.
-Explain that we are happy to give them a tour of our spaces and work. Tell them that we are a bunch of new folks here at the hive and we're in the process of launching our latest graphic project and that we don’t know how much energy we'll have to devote to interacting with folks among the current flurry of other tasks we have in front of us.
-Tell them that we ask that visitors cover their food expenses while they are here. Tell them that we share dinners.
-Ask them when they will be arriving.
Write on the whiteboard who is coming and when. Leave space for someone who will be around to sign up to greet them and give them a tour.
If someone calls and wants to volunteer...
Let them know that we will be having one or two separate weeks where we'll ask folks who are interested in visiting/helping to come if they can. We aren't sure quite yet when these weeks will be or what projects will be undertaken. Ask them for their phone number and email. Tell them there will be a follow up message coming soon.
Add their contact info to the volunteer request tracking google doc or give the paper with their info to Kaleigh.
